POSITION DESCRIPTION: 

The Assistant Director, Database & Donor Services is responsible for providing administrative, technical and database management support for the department of Institutional Advancement with emphasis on accurate and timely record keeping, data input and extraction, acknowledgement letters and special events.

POSITION ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS:

Database management:  Blackbaud / Raiser’s Edge / Research Point

  • Manage data health, entry of new constituents, coding, clean ups
  • Maintain and manage all Blackbaud products, contracts, updates and services (Raisers Edge NXT, ResearchPoint, Greater Giving, Net Community)
  • Generate queries and reports as needed for mailing and reporting
  • Produce and maintain queries, reports, mailing lists, pledge reminders, dashboards for development staff and other CCS departments

Gift Processing:

  • Process all gifts (mail, online, honor/memorial, in-kind etc), pledges, and event related ticket purchases daily, and deliver/pick up to/from the Business Office as needed
  • Work with Business Office to reconcile gifts on a monthly basis and generate a Monthly Gift report/5 -year Fundraising report, Trustee Giving report for the VP of Institutional Advancement
  • Complete matching gift forms, gift substantiation forms, and IRS form 8282, in conjunction with Business Office, when appropriate
  • Ensure records are maintained electronically and in hard copy per policy

Acknowledgments:

  • Generate and distribute weekly gift reports and receipts
  • Produce and edit acknowledgment letters for all gifts
  • Ensure proper coding of receipted gifts

Special Events:

  • Manage registration procedures using Greater Giving, Greater Giving Mobile Bidding and Raiser’s Edge Event module including event staff training, and post-event follow up reconciliation with the Business Office
  • Assist in coordinating DIWA, SEO, Auto Show, and other events; attend events as needed

Additional Responsibilities

  • Maintain policies and procedures related to gift processing, data entry standards and additional as needed
  • Perform training as needed

REQUIRED SKILLS AND QUALIFICATIONS:

  • Bachelor’s degree in a relevant area
  • Proficient computer skills to include Word, Excel and Raiser’s Edge
  • Excellent interpersonal, communication, and organizational skills
  • Self-starter with ability to handle multiple projects and changing priorities with   positive attitude
  • Commitment to attention to detail
