Assistant Director, Database & Donor Services

Position summary:

The Assistant Director, Database & Donor Services is responsible for providing administrative, technical and database management support for the department of Institutional Advancement with emphasis on accurate and timely record keeping, date input and extraction, acknowledgements letters and special events.

Duties & Responsibilities:

Database management:  Blackbaud / Raiser’s Edge / Research Point

  • Manage the entry of new constituents and code appropriately
  • Maintain and manage all Blackbaud updates and clean-up communication with IT when necessary
  • Update biographical information for individuals, corporate and foundation contacts etc.
  • Code and maintain alumni affiliations with companies, records of mailings etc.
  • Generate queries and reports as needed for mailing and reporting
  • Manage RE dashboards for development staff

Gift Processing:

  • Process all gifts (mail, online, honor/memorial, in-kind etc), pledges, and event related ticket purchases daily, and deliver to the Business Office
  • Provide copies of gifts and pledges to appropriate staff for donor files and acknowledgments
  • Work with Business Office to reconcile gifts on a monthly basis and generate a Monthly Gift Report for the VP of Institutional Advancement
  • Complete matching gift forms, gift substantiation forms, and IRS form 8282, in conjunction with Business Office, when appropriate


  • Assist in merging and editing acknowledgment letters for all gifts
  • Accurate and timely preparation and review of weekly merge documents for IA staff editing
  • Generate weekly donation and gift reports

Special Events:

  • Manage registration procedures using Raiser’s Edge Event module and AuctionPay event software including event staff training, and post-event follow reconciliation with the Business Office
  • Assist in coordinating  DIWA, SEO, Auto Show, and other events; attend events as needed




  • Bachelor’s degree in a relevant area
  • Proficient computer skills to include Word, Excel and Raiser’s Edge
  • Excellent interpersonal, communication, and organizational skills
  • Self-starter with ability to handle multiple projects and changing priorities with positive attitude
  • Commitment to attention to detail
